In Nigeria, the application letter is very significant in the job-hiring process. It is not just a formality or a normality, it is an essential tool that bridges the gap between you and your potential employee. It tells your potential employee about you.

Your application letter is not your Curriculum vitae or resume, it serves as a complement by highlighting your skills, qualifications and experiences in a more distinguished way, that aligns you with the company’s value and goals.

The purpose of your Curriculum vitae is to tell your potential employer what skills you offer while your application letter explains why those skills are important for the position and how the employer can benefit from them.[2]

The major importance of application letters beyond showcasing your skills, qualification and experience, is the ability to connect with your potential employer personally.

Here you can pitch on why you are better than the rest, you can show your potential employer how connected and versed already you are with the position. It is a direct opportunity to impress your potential employer. It is a plus to your curriculum vitae or resume.

When writing your winning application letter, ensure to tailor it to the specific job you are applying for. Take your time to read the job description carefully and highlight the skills and qualifications that are most relevant to the position in a clear and concise way.

It is advisable to be specific and provide quality examples of how you have used the skill and experience you highlighted in the past. Be professional.

Some job seekers make the mistake of writing the same application letter for every job they are applying for by simply tweaking the company’s name and address. This is very wrong. Avoid generic application letters or Ai generated application letters.

Preparing to Write Your Application Letter in Nigeria

1. Read the Job Specifications Carefully

The first thing to do when you see a job posting that interests you, is to read the job specifications carefully. Don’t rush to start writing, when you have not understood what is expected of you yet. With a pen and paper carefully write down the company’s name and website address if provided, you should also write down the specification for the position, highlighting the specific specifications you are a perfect match to, because you will need to write them upfront in your application letter.

2. Research is Key

To avoid sounding like the rest of the application letters being submitted and getting tossed away, you have to perform in-depth research on the company’s values, mission, the specific job role you are interested in, and how you can be the perfect solution to their pending problems. While researching take a careful look at the job description and jot all the keywords, so you can use them while writing.

Every employer wants an employee who earns their paycheck, not someone present and doing the regular thing every other person does or will do. It is advisable to pitch on how you are the perfect solution for the position upfront in the application letter. Another important research to carry out is knowing the right person or department to address the letter to. This is very crucial, so make every effort to find that information. Source for enough information, you can as well make physical research by asking the right questions to the right people.

3. Start Writing

Ensure to make your application letter personalized, clear and concise, stating your purpose upfront. Use a professional format and avoid the use of jargons or overly ambiguous languages. Ensure to include the keywords you got from the job description. Words like “customer centric”, “result oriented” “problem solver”, “data driven” will help make your application letter a success. [3]

Begin writing by making an outline from the information gotten so far, then you write your draft copy of your application letter before writing the original copy and proofreading.[4]

The Structure of a Good Application Letter

The typical structure of a good application letter is concise and organized, consisting of six main parts:

  • Formatting
  • Introduction
  • Body paragraph
  • Closing

1. Formatting

Step 1: Take note of the font size, style, line spacing and the page margin. The most preferred font size is 10 – 12, this makes it easier to read. A font size above 12 looks unprofessional and a font size below 10, makes it difficult to read.[2]

While the font style considered professional is Times New Roman, Calibri and Arial font. Don’t use overly stylish fonts as they may seem unprofessional. The page margin should be within 1.25 to 2.0 cm. Single-space your application letter. This is to ensure that all your relevant information is in a single page.[5]

Step 2: Write your contact information on the top right-hand corner. Align it to the left and include your first and last name, address, email address, phone number and personal website if you have any relevant to the job role.[6]

Check out the example below:

Ada Chuks
123 Main Street
Bright Estate,
Enugu, Nigeria.
+123456789
Adachuks211@gmail.com
www.adacook.com
July 20th, 2023.

[1][5]

Step 3: Write the company information at the left-hand corner, left aligned, leaving a line of space directly below your contact information. If you don’t know the hiring manager name, search the company’s website or refer to the name on the job post. Check out the example below:

Adeola Daniel
Human resource Manager
Mansis drink and chow, int’l
456 Senior Street
Enugu, Nigeria.

[1][5]

Step 4: Open your letter with a formal salutation, addressing the greeting to the name in the company information or using sir if the name is not available. For example:

Dear Mr. Daniel,

Step 5: Writing a letter in Nigeria requires you to include a topic, which briefly highlights the purpose of the letter, but in some other countries it is not compulsory. Write the Heading in capital letters or underline it in small letters.

For example:

APPLICATION FOR THE POSITION OF A SENIOR CHEF

Application for the Position of a Senior Chef

2. Introduction

This is the first paragraph your potential employer reads after going through your contact information. Think of this as a one-time opportunity to shoot your shot. What can you say now that will grab their attention and keep them reading. If your potential employer finds your first paragraph intrigue, there is a higher chance that your application letter won’t get tossed in the bin. That is why you should put your very best in it. Open with a strong and concise statement, on how excited you are about the job, how familiar you are about the company and briefly highlight why you are the person for the job.

For example:

I am writing to apply for the role of the Senior Chef position at Mansis drink and chow, int’l as advertised on your company website. With my 5 years of experience working as a Junior Chef and being part of the creators of one of the top selling delicacies in Amsterdam Foods, I am an excellent fit for this position. I am confident that I possess the cooking capacity and experience to excel in this role, as I’m up to date with all your company trends and newest inventions.

3. Body Paragraphs

This starts from the second paragraph of your application letter. Highlight your skills, qualifications and experience that are most relevant to the job you are applying for. Be specific and provide examples of how you have used your skill and experiences in the past. Explain why you are interested in the job, what makes you excited about the opportunity and how much you will impact the company with your skills. You can summarize this in 2 paragraphs making it as brief and captivating as possible. [4]

For example:

Having done intensive research on the company, I learned that Mansis drink and chow, int’l is finally launching their long awaited, Asian rice wine, Mansis Soy Soju, as announced in January and will need a Senior chef with the knowledge of processing Koji used for the production. I have taken several courses and onsite training on Asian delicacies and one of them I have become well versed with is the production of Koji. I have always wanted to be a part of creating the best customized soju.

As a Junior Chef in Amsterdam, I’m well versed in versatile food preparation and menu customization, Customers are served by categories, So I handled the VIP orders and also was in charge of attending to the company’s Chinese customers category. I saved the company from the cost of buying customized koji and introduced them to home made koji, which is cheaper and cuts the cost by almost 75%. [2]

4. Closing

Conclude with a call to action and a portfolio or resume if available. You should reiterate your interest in the job and express your willingness to learn more. You should also sign off professionally and politely, writing your full name and signature with a line of space separating them. In Nigeria, “Yours faithfully” is mostly used. If you are sending by email, include your contact information beneath your name rather than in the header. [6]

You can end by saying:

I am eager to learn more about being a Senior Chef in Mansis drink and chow, int’l and how my skills will benefit your company. I have attached my resume for your perusal and would appreciate an interview at your earliest convenience. Thank you for your time and consideration.

Yours Faithfully,
